Electronic Signature Disclosure
Last updated November 2, 2026
This disclosure explains what it means to sign documents electronically with Hereby. You are shown it before you sign, and you must agree to use electronic records and signatures before you can fill in a document. The organisation that sent you the document ("Sender") is the party you are dealing with; Hereby provides the signing platform.
1. Your consent
By agreeing, you consent to receive the document and related notices from the Sender electronically, and to sign it with an electronic signature. Your electronic signature has the same legal effect as a handwritten signature to the extent the applicable law allows.
2. Paper copies and withdrawing consent
You do not have to sign electronically. You can ask the Sender for a paper copy of the document, or to sign on paper instead, by contacting them directly; the Sender may charge a fee for paper copies or decline to deal on paper. You may withdraw your consent at any time before you finish signing by closing the page and telling the Sender, or by choosing Decline on the signing page. Withdrawing consent does not affect the validity of anything you signed electronically before.
3. Hardware and software you need
- A current version of Chrome, Edge, Firefox or Safari, with JavaScript and cookies enabled.
- An email address you can receive messages at, to get your signing link, any verification code and the completed document.
- A device that can display or save PDF files, to read and keep the completed document.
If these requirements change in a way that could prevent you from accessing or keeping your documents, the Sender or Hereby will tell you.
4. Getting a copy
When everyone has signed, you will receive the completed document by email, as an attachment or a download link. Save a copy for your records. You can check that a document is genuine and unchanged at any time on our verification page.
5. How we confirm and record your signature
To link your signature to you, Hereby records your email address, how you were verified (for example a code sent to your email), your IP address, your browser, and the time of every step (opened, consented, signed or declined). These details, with fingerprints (SHA-256 hashes) of the original documents, are added to a certificate of completion at the end of the signed PDF, and the PDF is sealed so any later change can be detected. The certificate is shared with every party to the document. See our Privacy Policy.
6. Keep your email secure
Anyone who can read your email may be able to open your signing link. Do not forward signing emails or verification codes. If you think someone else used your link, tell the Sender right away.
7. Scope
Electronic signatures on Hereby are intended for ordinary commercial agreements under the U.S. ESIGN Act and UETA and as simple electronic signatures under the EU eIDAS Regulation. They may not be valid for every kind of document in every country. If you are unsure, ask the Sender or your own legal advisor before signing.
8. Questions
Questions about the document go to the Sender. Questions about the Hereby platform: [email protected].
